Executive Council (EC) members are responsible for conducting a comprehensive review of their policies at least every five (5) years or as required to stay current with applicable laws and regulations.
The purpose of the review is to determine:
If the policy is still necessary and accurate.
Should the policy be combined with another policy or rescinded?
If the policy is up to date with current laws and regulations.
If changes are required to improve the effectiveness or clarity of the policy.
Step 1. Policies for review are identified by the President/District Director’s Office.
Step 2. The Assistant to the President and District Board will upload a copy of the Policy Review Schedule to the EC Teams site and post it under Policies and Procedures on the Intranet. The EC member responsible for review is listed in the Authority section of each policy.
Step 3. The EC member examines and revises the policy and associated documents as needed.
Collaborate with key stakeholders, including college committees, as applicable.
For revised policies, please track all changes and comments utilizing the Track Changes feature in Microsoft Word.
Step 4. The EC member emails the revised policy to the Assistant to the President and District Board to be included in the next EC meeting agenda.
Step 5. At the Executive Council meeting, the EC member presents the revised policy and captures feedback from the EC members. If approved, move to Step 6. If not approved, return to Step 3.
Step 6. The EC member changes the revised policy, if any, and emails it to the Assistant to the President and District Board.
If the changes to the policy are minor, either:
Place the EC-approved policy (District Board Authority) on the District Board agenda for review and final approval; if not approved, go back to Step 5 or,
Place the EC-approved policy (not District Board Authority) on the Blackhawk Advisory Council (BAC) agenda for review and final approval; if not approved, go back to Step 5.
Step 7. Once the policy has received final approval, the Assistant to the President and District Board will update the Policy and Procedure Manual on the Internet and communicate policy changes via the Blackhawk Bulletin.
